Use this guide when you own or administer a new BlendDuck workspace. It takes you from an empty workspace to a team that can create, review, and schedule content without guessing who controls each step.

Plan forRecommended starting point
TimeAbout 30 minutes, plus social-provider authorization
AccessWorkspace owner or admin
PeopleOne content creator and, if needed, one reviewer
ChannelsStart with one account you control before adding every brand account
TestRehearse with a harmless draft; publish only to an approved test or brand channel

Before you start

Have these ready:

  • the name of the single brand or client this workspace will manage;
  • owner or admin access in BlendDuck;
  • the correct social account already open in another browser tab;
  • native administrator access to the Page, profile, channel, or location;
  • teammate email addresses and a decision about who may approve content; and
  • one harmless caption and supported media asset for the rehearsal.

If you manage unrelated brands or clients, give each one its own workspace. That keeps members, channels, Brand Soul, knowledge, approvals, developer credentials, and billing context inside the right boundary.

1. Name and verify the workspace

  1. Open Settings → General.
  2. Use a name teammates will recognize without seeing a channel list, such as the brand or client name.
  3. Choose Save changes.
  4. Check the workspace switcher before continuing.

Success check: the intended workspace name appears in the dashboard. Do not connect a client channel until this is true.

2. Add the brand source of truth

Open Brand Soul and record the audience, voice, terminology, products, and guardrails that should stay consistent. Add approved factual source documents to Knowledge Base.

Start small: one usable voice profile and one current source are better than a large unreviewed import. Brand Soul guides tone; Knowledge Base grounds facts. Neither replaces a human review or a provider's publishing rules.

Read Brand Soul and Knowledge Base for the full setup.

3. Connect one channel and prove access

  1. Open Dashboard → Channels.
  2. Select the provider and choose Connect.
  3. On the provider's authorization screen, verify the signed-in identity and grant the requested permissions.
  4. Select the intended account when more than one is returned.
  5. Wait for the channel to show Connected.

Start with one channel so an account-type or permission problem is easy to isolate. Check the channel capability matrix and the linked platform guide before promising a format, Analytics, or Inbox workflow to a client.

4. Invite the smallest useful team

Open Team & access, choose Invite members, and start with the least access that lets each person do their job:

PersonRecommended workspace access
Workspace operatorOwner or Admin only when they manage settings, people, or credentials
Content creatorEditor
External reviewerEditor, selected as a named reviewer; keep Social Inbox access at None unless they must handle conversations

Wait for a reviewer to accept the invitation before assigning them in an approval rule. BlendDuck does not currently provide a client-only or approver-only role, so review Editor access with the client before inviting them. See the client approval playbook for a safe setup.

5. Choose the publishing gate

Open Approvals → Approval policy.

  • Choose No approval required for a solo operator who owns the final publishing decision.
  • Choose Require approval when another person must sign off. Select the named reviewer, then choose Save rules.

If no reviewer is selected, workspace owners and admins can review. The current dashboard configures one required review stage. Read Content approvals before building a client process around it.

6. Rehearse the complete path

  1. Open New post, select the connected channel, and add the harmless test content.
  2. Save a draft and inspect its channel-specific preview and validation.
  3. If approval is required, choose Send for approval. Have the reviewer open Approvals → To review and approve it or request a clear change.
  4. Open the post from Calendar and confirm the approval and channel target.
  5. Schedule a real delivery only if the selected channel and content are safe to publish. Otherwise stop after approval; the workflow rehearsal is still complete.

For a real delivery, confirm the timezone, select a future time, and watch the target move from Scheduled to Publishing and then Published. A provider failure stays attached to that target for diagnosis.

You are done when

  • The workspace name identifies one brand or client.
  • Brand Soul and at least one factual source are reviewable.
  • One intended social channel shows Connected.
  • Every invited person has only the access they need.
  • The approval rule has an intentional owner or named reviewer.
  • A draft has completed the chosen create → review → schedule rehearsal.
  • The team knows where to inspect target status and provider errors.

If something blocks you

SymptomFirst safe action
The wrong workspace is openStop before connecting anything; use the workspace switcher and verify the name again.
The provider does not return the target accountVerify the native account type and your native admin role, then reconnect from the platform guide.
A teammate cannot manage settingsConfirm whether they should be Admin; do not broaden access only to solve an approval task.
The reviewer is not listedAsk them to accept the workspace invitation, refresh, and then select them in the approval policy.
The post cannot publish after an editThe approval belongs to the earlier content version; submit the updated version again.
A target fails after schedulingKeep the original post, read the provider error, fix the cause, and retry only that target.

Next, follow the 10-minute first-post guide for the editor's view or use Campaigns and Calendar to organize the first week of content.
