An influencer collaboration should not be managed through scattered messages and a final caption screenshot. A durable operating record connects the business objective, creator fit, negotiated scope, creative boundaries, compensation, rights, disclosures, safety, approvals, live delivery, payment, and results.

Use one row per creator and campaign agreement. Store sensitive contact, payment, tax, identity, or contract information only in systems designed and authorized for it. The downloadable template focuses on operational coordination and should link to protected records rather than duplicate them.
Evaluate fit before negotiating deliverables
Define the campaign audience, objective, creator role, expected contribution, and evidence behind the selection. Review audience relevance, content quality, historical brand relationships, public safety concerns, engagement patterns, fake or manipulated activity indicators, workload, accessibility, and conflicts.
Do not reduce fit to follower count. A smaller creator with trusted subject knowledge and relevant community participation may be more useful than broad but weakly aligned reach. Record uncertainty and the person responsible for the final selection decision.
Avoid collecting personal information that is not required. Apply consistent, documented selection criteria and escalate discrimination, labor, minor, union, talent, or jurisdiction-specific questions to qualified owners.
Define scope, freedom, compensation, and rights
Specify channels, accounts, formats, quantity, milestones, due dates, posting windows, mandatory facts, prohibited claims, offer terms, links, tags, disclosure language, accessibility, community response, and evidence of delivery.
Protect authentic creator expression by separating non-negotiable facts and safety boundaries from optional creative direction. Excessive scripting can weaken both trust and performance, while vague direction can create late rework and compliance risk.
Record fees, expenses, gifting, affiliate terms, bonuses, usage rights, paid amplification, whitelisting or partnership-ad permissions, exclusivity, term, territory, edits, sublicensing, cancellation, reshoots, late delivery, content removal, and payment milestones.
Make disclosure and approval executable
Material relationships should be disclosed clearly according to applicable rules and platform requirements. The disclosure must be understandable and appropriately placed; a hidden tag or ambiguous wording may be insufficient. Requirements vary, so qualified legal review may be necessary.
Define approval stages, reviewers, deadlines, allowed revision rounds, final decision owner, and changes that invalidate approval. Bind approval to the exact content version, caption, media, destination, disclosure, links, offer, and publish window.
Create an escalation path for unsafe claims, harassment, impersonation, leaked drafts, account compromise, missed deadlines, public controversy, product incidents, or creator withdrawal. Protect the creator from unnecessary exposure and define who communicates during a dispute.
Verify delivery, payment, and learning
Record the live URL, publish time, disclosure visibility, approved-version match, accessibility, initial delivery status, required story or temporary-content evidence, and any corrections. Confirm completion before triggering payment milestones according to the agreement.
Measure with pre-agreed definitions and windows. Separate platform estimates, tracked traffic, conversion evidence, code use, qualitative community response, content reuse, production effort, and brand safety outcomes. Preserve limitations instead of converting every association into attributed revenue.
Close the collaboration with payment status, rights-expiry date, asset disposition, withdrawal handling, relationship notes, learning, and next decision.
